United Way of Williamson County will promote a climate that welcomes, understands and respects the diversity of the donors, staff, volunteers, agencies, clients and community partners. Dimensions of diversity include but are not limited to race, ethnicity, sexual orientation, cultural orientation, national origin, language, religious belief, disability, gender, age, education, parental status, economic circumstances.
United Way of Williamson County is committed to incorporating practices that enhance diversity into all areas of activity, including the recruitment and retention of staff and volunteers from diverse backgrounds. We feel that the inclusion of these differences will allow us to maximize our individual talents for the benefit of the organization and the community.
We collect and maintain the following types of donor information:
- Contact information such as name, complete address, phone number(s), email address, and organization/company affiliation.
- Payment information such as credit card number and expiration date, billing information, pledge information, and designation choices.
- Demographic information such as date of birth, gender, interests, and giving history to help us better understand our donors and giving trends.
- Requests to receive periodic updates such as occasional mailings and/or emails related to impact, fundraising or volunteer events, specific appeals, and newsletters.
Donor information is collected so that we can process your donation and honor your giving intent. We do not collect personal information about you unless you provide it and you may engage with us without telling us who you are or revealing any personal information. The information you do provide is stored in accordance with current laws, rules, and regulations.
United Way of Williamson County uses your information to complete a transaction, communicate with you, better understand our donor's wishes, and update you on our work in the community. Credit card numbers are used only for donation or payment processing.
United Way of Williamson County will not sell, rent, or lease your personal information to other organizations or third-party vendors. We will take all reasonable measures to keep the personal information of our donors private and confidential. The use of donor information will be limited to internal purposes of United Way of Williamson County and/or provided to designated nonprofits in accordance with your wishes.
If you designate your gift through United Way of Williamson County to another nonprofit, you can choose whether your information is shared with that nonprofit. If you do not indicate otherwise, United Way of Williamson County will share your name, contact information and amount of gift to the nonprofit to which you direct your donation. This information will enable the organization to acknowledge your donation directly and to send you follow-up information about their programs. If you indicate on the pledge form that you do NOT want to release your information to the designated agency, neither your name nor any other information about you will be transmitted to the recipient nonprofit organization when payment is made to that organization. You will still receive an acknowledgment of your gift from United Way of Williamson County, and your gift will remain tax-deductible to the extent permitted by law.
Other instances where we may use your information are to comply with the law or in the good faith belief that such action is necessary to conform to the requirements of the law or to comply with legal process served on us, protect and defend our rights, or act in urgent circumstances to protect the personal safety of others. We may also use the personal information to protect against potential fraud. We may verify with third parties the information collected while processing donation or event registration. If you use a credit or debit card on the website, we may use card authorization and fraud screening services to verify that your card information and address matches the information that you provided to us and that the card being used has not been reported lost or stolen.

Personal information is stored on our internal server and is NOT publicly accessible. Personal information is only accessed by staff on a “need to know” basis. To prevent unauthorized access, maintain accuracy, and safeguard the proper use of information, we have physical, electronic, and managerial procedures in place to secure the information we collect. Sensitive data, such as credit/debit card numbers, are processed using industry standard security measures and stored in a locked location inaccessible to the public. Records are destroyed in compliance with our Records Retention Policy.
We do not want to send unwanted mail to our donors. Please contact us if you wish to be removed from our mailing list. Email communications provide the option to remove yourself from the distribution list.
